DEPOK – (29/6/2022) In order to increase the effectiveness and efficiency of the management of official manuscript administration in the work environment of the Universitas Indonesia (UI) with electronic signatures certified by the Electronic Certification Center of the State Cyber and Crypto Agency (BSRE BSN), the Faculty of Economics and Business of the Universitas Indonesia (FEB UI) held socialization and assistance for the issuance of electronic signatures (eSign) and the use of the ANDIENI application for Structural Leaders of FEB UI which took place in room 401-402, Postgraduate Building, Wednesday (29/6). The event was opened by Dr. Dyah Setyaningrum, Head of the Dean’s Office, Strategic Planning, Evaluation, and Monitoring – International Ranking (DOSPEM – IR).
The use of an electronic official manuscript application in the UI work environment called ANDIENI is needed to support the implementation of the duties and functions of the work unit according to the UI Rector Decree Number: 479/R/UI/2020 and UI Rector Circular Letter Number: SE1133/UN2.R/HKP.04.03/2020.
The Head of the UI Archives Office, Wahid Nurfiantara, S.Hum., MTI, shared that the creation of an innovation called ANDIENI originated from an evaluation of the official manuscript administration management process at UI (starting from concept, approval, correction, the process for signing, until it is sent to the addressee) is considered quite long. ANDIENI presents convenience in the administrative process at UI and has the added value of applying electronic signatures. This aims to ensure that official documents published/circulated at UI electronically have reliable certification and are legally accounted for.
According to Wahid, using ANDIENI is very easy. Starting from creating an official script that contains, among others, the subject, purpose, content of the letter, and so on. If the official script is made, it can be reviewed for correction. If everything is correct, it can be submitted to the work unit supervisor to be checked and signed. It will automatically be sent to the destination/recipient of the official script.
“The existence of ANDIENI can speed up the process of official manuscript administration at UI because it can be accessed from anywhere and uses electronic signatures, so there is no need for couriers to send official manuscripts to recipients,” Wahid concluded his session.
